Job Description

We are seeking a highly organized and detail-oriented Real Estate Secretary to join our team. The successful candidate will play a crucial role in supporting our real estate professionals and ensuring the smooth and efficient operation of our office. The ideal candidate will have excellent administrative and communication skills, a strong understanding of real estate processes, and the ability to handle multiple tasks with precision.

Responsibilities:

  • Provide administrative support to real estate professionals, including managing schedules, appointments, and travel arrangements.
  • Prepare and distribute correspondence, reports, and other documents.
  • Maintain and organize physical and electronic filing systems.
  • Answer and direct phone calls in a professional and friendly manner.
  • Greet clients and visitors, ensuring a positive and welcoming experience.
  • Assist clients with inquiries and direct them to the appropriate team members.
  • Draft and edit real estate documents, contracts, and agreements.
  • Coordinate the preparation and distribution of listing materials and marketing collateral.
  • Ensure all documentation is accurate, complete, and in compliance with legal requirements.
  • Assist in coordinating real estate transactions from initiation to closing.
  • Liaise with title companies, lenders, and other parties involved in the transaction process.
  • Keep all parties informed about the progress of transactions and address any issues that may arise.
  • Maintain and update client databases and CRM systems.
  • Input and manage property listings, ensuring accuracy and completeness.
  • Schedule and coordinate meetings, appointments, and property showings.
  • Prepare meeting agendas and take accurate minutes when required.
  • Maintain office supplies and equipment, replenishing as needed.
  • Assist in the coordination of office events and activities.

Qualifications:

  • Proven 1 - 2 years of experience as a secretary or administrative assistant, preferably in a real estate environment.
  • Experience in Lone wolf software a must.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite and real estate software.
  • Knowledge of real estate processes and terminology.
  • Ability to handle confidential information with discretion.
  • Attention to detail and accuracy.
