Responsibilities

Tasks

  • Ensure effective coordination of all administrative and financial recordkeeping activities such as documenting daily foreign exchange transactions, maintaining multi-currency ledgers, recording client deposits and withdrawals and reconciling bank statements.
  • Oversee the accurate documentation of foreign exchange transactions, client files, compliance records, and internal reports across departments.
  • Evaluate and monitor the performance of the records and administrative services department, identifying process gaps, implementing improvements, and ensuring compliance with internal standards and external regulatory requirements.
  • Record, verify, and track all administrative and operational payments, including vendor services, compliance tools and audit fees, ensuring they are properly documented, reconciled, and archived for audit purposes.
  • Oversee the day-to-day operations of the records management function, ensuring timely documentation, secure storage, smooth interdepartmental coordination, and the overall efficiency of the department.
  • Supervise and guide personnel handling financial documentation,  purchasing records and security logs, while ensuring strict adherence to company policies and industry regulations.
  • Administer and continuously evaluate documentation and compliance procedures to ensure alignment with international forex regulations, data protection standards, and company policy.
  • Organize and store trade confirmations and client communications following industry rules and resolve any trade errors, failed trades or changes.
  • Set up controls to prevent unauthorized changes to trade records and keep audit logs and make sure settlement instructions with banks and partners are correct and recorded on time.
  • Prepare and deliver clear, data-driven reports and executive briefs summarizing key insights from financial and operational records to support strategic planning, risk management, and compliance oversight.
  • Organize and maintain an up-to-date inventory of all account records and documents, both physical and digital, including trade confirmations, regulatory filings, client documentation, and audit reports, ensuring accessibility and security.
  • Lead the recruitment, selection, onboarding, and continuous professional development of records management staff, ensuring a high-performing, well-trained team that upholds standards of accuracy, confidentiality, and regulatory compliance.
