Workplace location information:

  • Onsite — work must be completed at the physical clinic location; there is no option to work remotely.

Title of the Position: Dental Office Manager (Administrative Services Manager)

Number of Positions Available: 1

Job Duties

  • Plan, organize, direct and evaluate the administrative and business operations of the dental clinic, covering front-office, patient services, records, finance and human resources functions
  • Direct and supervise non-clinical and support staff (receptionists, treatment coordinators, administrative assistants), assigning duties, setting schedules and overseeing day-to-day performance
  • Oversee the clinic's human resources function, including recruitment, onboarding, training coordination, employee records and workplace policies for clinical-support and administrative staff
  • Direct and control regulatory compliance and governance procedures, including patient privacy (PHIPA), occupational health and safety, infection-control recordkeeping and applicable professional/college requirements
  • Plan, administer and control operating budgets for office and clinical supplies, equipment purchases and service contracts; source vendors and negotiate and manage supplier agreements
  • Manage the clinic's records and information systems — patient management software, billing and insurance-claim records and HR information — ensuring accuracy and privacy compliance
  • Oversee patient billing, insurance claims and accounts administration in coordination with the clinic's bookkeeper/accountant
  • Prepare operational and financial reports for the owner and dentists evaluating administrative performance, staffing and costs, and recommend improvements
  • Interview, hire and oversee the training of administrative and support staff

Terms and Conditions

Terms of Employment: Permanent, full-time 40 hours per week

Skill Requirements (education and work experience)

  • A bachelor's degree or college diploma in business administration or a related administrative-services field is required.
  • At least 2-3 years experience at a professional level in business administration, administrative services, finance or office management are required.

Language of Work: English

Wage: $51/hr
